Terms and Conditions

1. GENERAL

No Signup Fees and No Monthly Charges.

Our full company name is The Pilates Room.

You must be 18 years old or older to sign up and attend a class. If you have your parent/guardians’ written consent, you can be 16-18 years old.

Drop-in memberships, class packs and unlimited passes purchased at the studio or online are non-refundable.

Intro Offers are non-refundable and non-extendable. They are valid for 30 days from the date started it cannot be extended.

2. ACTIVATION

All class packs, monthly passes and the Intro Offer activate on the date of first booking. Once the first class is booked you cannot book another class on a previous date. You can only book classes on dates that fall after your activation date.

3. BOOKING AND WAITLISTS

We strongly recommend that you book your class in advance as we have a limited number of spaces. If the class is fully booked you can join the waitlist. Please note, you will need to have a valid payment option to join.

If you are on the waitlist and a space opens up (due to a cancellation) and you are next in line, you will receive an auto-email notifying you that you have been added to the class register. This service is fully automated and can reach you at any time.

4. EXTENSION

All multi class packs (1, 5 or 10 class packs) are valid from 2 to 6 months. Intro Offers and Class Packs cannot be extended. If you have special circumstances such as doctors notes we can make exceptions and extend your pack for 30 days.

5. CANCELLATION

If you booked a class but can no longer attend, you must cancel the class. The easiest way to cancel is via the website or Mindbody App

Class cancellation policy is 24 hours. Cancellations made with less than 24 hours notice will result in loss of credit for students on single or package options.

‘Early cancel’ (up to 24 hours before class) will put the class credit back on your account and you will be able to use it again in the future. If you ‘late cancel’ (i.e. after the 24 hour cancellation period) no credit will be returned to your account.

Credit on account or refund will be provided if the class is cancelled by the studio.

6. NO SHOW POLICY

Credit will be lost for clients on single or package options.

7. YOUR HEALTH AND WELLBEING

You must, at the time of registering and while using our studio, be in good health, have no physical impairment or disability, disease or ailment which prevents you from engaging in passive or active exercise, or which would cause increased risk of impairment or injury from using our facilities.

You acknowledge that classes and sessions involve physical activity and accept that it is your responsibility to ensure you are able to participate in a session. If you have any injuries or issues you must inform the instructor or front of house team before starting and we will happily advise you.

8. DIRECT DEBITS

We will need your sort code, account number, full name and address to set it up. It will be saved securely on Mindbody.

If you have signed up for a rehabilitation package and choose Direct Debit you must finish the agreed term but you can ‘pause’ your Direct Debit for one month at a time should you need to, but you must notify the studio before the date your next payment is due. The membership can only be ‘paused’ for complete months at a time, not for days or weeks.

9. RETAIL

All items purchased at the studio are non-refundable.

Credit on account at The Pilates Room or exchange will be provided if an item is found faulty or in unusable condition.

10. STUDIO ETIQUETTE

TIMEKEEPING

You must arrive on time for the session you have booked. We have 10 minutes between most classes to give you ample time to check-in, and get ready for class.

If you are running late please notify the studio and we will save your space for up to 15 minutes, after which the space will be given to s student on standby.

If you have booked a class and do not arrive within 5 minutes of the class starting, we reserve the right to give the space to a student on standby.

IN THE STUDIO AREA

You must wipe-clean your reformer and/or mat after use. Spray bottles and wiping cloths are provided.
The Pilates Room cannot be held responsible for any customer valuables or items lost or stolen in the studio area.

For hygiene reasons we ask that you wear socks during class.

Mobile phone calls are prohibited in the studio, if you need to make a call please go to the reception and make it there.

Please avoid wearing clothing with exposed zips as they can damage the machinery.

LOST & FOUND

All students are responsible for their own belongings. All items left behind will be stored in ‘Lost & Found’. Please contact reception if you think you might have left something at the studio. Items will be kept for one month and anything left unclaimed will be given to charity.
